The Association has the following exciting opportunity for a Senior Administrative Assistant.

 

Position Title:            Senior Administrative Assistant

Classification:           Permanent

 

PRIMARY PURPOSE AND FUNCTION

  • To provide secretarial and administrative support to the office of the Executive Director.
  • To execute the duties of Board secretariat.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

As the Assistant, you will be responsible for secretarial and administrative support to the office of the Executive Director, including the functions of Board secretariat.

 

Responsibilities include but are not limited to:

  • General secretariat and office duties.
  • Travel arrangements – bookings for travel, car hire and accommodation.
  • Fincom/Exco secretariat and duties related thereto.
  • Secretariat and relevant duties for CASA administration.
  • Arranging stakeholder engagements as required by the Executive Director.
  • Liaising with relevant stakeholders as required in the role.
  • Minute-taking for relevant meetings of Executive Director, or as required.
  • Assist Executive Director with day to day requirements.
  • Planning and co-ordinating of activities.
  • Organise AGM and documentation and circulate within relevant timeframes.
  • Assist with organising and co-ordinating functions/meetings for the office of the Executive Director.
  • Assist with Annual awards as required.
  • Arrange and organise Staff year end, Exco year end, Past Presidents lunch and similar functions etc, under direction of Executive Director.
  • Attend to the MBSA Congress logistical arrangements.
  • Finalising power-point presentations and spreadsheets as required by the Executive Director.
  • Assist the Executive Director with specific tasks as required.
  • Any other duties relating to the office of the Executive Director or the Association as a whole, which may reasonably be expected of an employee in this position.

 

QUALIFICATIONS KNOWLEDGE AND SKILLS

  • Relevant tertiary qualification.
  • At least five years relevant experience.
  • Excellent minute taking skills.
  • Experience of developing and maintaining information systems to support effective working.
  • Effective time and workload management.
  • Effective project management skills.
  • Proficient in Microsoft with excellent computer skills.
  • Excellent customer service skills.
  • Problem solving skills.
  • Advanced skills in word processing, spreadsheet, database, presentation, software and internet required.
  • Professional level of organization.
  • Excellent communication skills, both written and oral.
  • Accuracy, timelines and strong organisational skills essential.
  • Need a strong appreciation of the importance of completing tasks on deadline.
  • Self-starter, team player.
  • Accuracy and attention to detail.
  • Be able to work under pressure.
  • Must maintain confidentiality at all times.
  • Good telephone manner.
  • Must have a valid driver’s licence and own transport.
